Frequently Asked Questions

Serenity Vet operates a veterinary staffing marketplace platform that connects veterinary clinics with independent contractor relief veterinarians. This FAQ addresses common questions we hear from clinics considering adding their shift coverage in addition to another marketplace.

This FAQ is general information, not legal advice. Every clinic’s situation is different – what applies to you depends on your specific marketplace contract language, the timing of engagements, and the law in your province or state. Consult your own legal counsel before making decisions that depend on the enforceability of any restrictive covenant. Nothing in this FAQ is intended as a representation of the contract terms or practices of any specific third-party marketplace.

What is the Serenity Vet platform, and how does it work?

Serenity Vet is a software platform that helps veterinary clinics find and coordinate relief veterinarians. Clinics can subscribe to use the platform to manage their own relief network with no platform fees, or find veterinarians through the Serenity network. The system centralizes scheduling, payments, and related workflows, making relief coverage more organized and predictable. Serenity Vet facilitates these interactions and processes payments but does not employ veterinarians or oversee their services.

How does the subscription work?

If you already work with relief vets, simply invite them to the platform and begin scheduling shifts and paying them through Serenity with no platform fees. If you hire a veterinarian through Serenity, you can add them to your clinic’s network after your first shift together. You can start free and manage one relief veterinarian at no cost.

How does payment processing work?

Payments for veterinary relief services are securely processed via Stripe. Clinics are billed for the shift cost, Serenity Vet’s service fee, and any Stripe processing fees. Professionals receive payment within a few days of completing a shift, directly into the bank account they provide.

Can Serenity Vet suspend or terminate accounts?

Yes. Serenity Vet may suspend or terminate accounts for violations of the User Agreement, such as providing false information, disregarding platform guidelines, attempting unauthorized transactions, or engaging in fraudulent or inappropriate behavior.

How does Serenity Vet protect my information?

Serenity Vet prioritizes data security and adheres to a strict Privacy Policy. Personal information is used only for account management, payment processing, and service improvement. Aggregated or de-identified data may be used for analytics, ensuring personal details remain secure.

Can I continue to use Roo and other relief services if I sign up with Serenity Vet?

Yes. We don’t believe in locking anyone in – that’s why we don’t have contracts or placement fees. We simply ask that if a clinic and relief professional meet through Serenity, they continue scheduling their shifts on our platform.

What if I disagree with changes to the User Agreement?

If you disagree with any updates to the User Agreement, you may stop using the platform. Continued use of the platform indicates acceptance of the updated terms.

What should I do if my payment is delayed?

Ensure your bank details in the platform are accurate and up-to-date. Serenity Vet processes payments promptly, but delays caused by incorrect information or banking systems are beyond its control.

How does Serenity Vet handle fee changes?

Serenity Vet reserves the right to update or introduce new fees, including service or processing fees. Users will be notified of these changes, and it is their responsibility to review the updated fee structure.

Are ACH/Pre-Authorized Debit payment options available?

Yes! Clinics in the U.S. can now pay via ACH, and Canadian clinics can use Pre-Authorized Debit. Both options offer a flat $5 fee per transaction, reducing your typical credit card processing costs.

How does ACH/Pre-Authorized Debit payment work?

Clinics in the U.S. can now pay via ACH, and Canadian clinics can use Pre-Authorized Debit, both for a flat $5 fee per transaction. This reduces the usual credit card processing fees, helping you save on payment costs. Simply add or update your payment method in your account settings.

Can we keep working with the same relief/locum vets after we switch?

In the ordinary case, yes. Relief veterinarians typically work across multiple marketplace platforms simultaneously and are free to choose which engagements to accept. Think of “Uber and Lyft” – same concept.

If a veterinarian you’ve worked with is on Serenity Vet, you can book them for contract shifts here.

Whether a prior marketplace agreement imposes any limitations depends entirely on the terms of that specific contract. Most marketplace restrictions are drafted around a clinic hiring a vet as its own permanent employee after meeting them through the platform, not around booking contract shifts through another platform.

Aren’t there restrictive covenants in relief-vet marketplace contracts?

Many relief-vet marketplace agreements include “placement fee” or “no-hire” clauses that trigger if a clinic hires a marketplace-sourced vet as its own employee. Typically, language like “hire or offer to hire as an employee, whether on a full-time, part-time, or per diem basis” within a defined period after that vet’s last shift.

Two things are worth understanding:

  1. These clauses are drafted around employment, not around continued contract engagement through another marketplace. The distinction matters because a relief veterinarian you engage through Serenity Vet is an independent contractor whose contractual counterparty is Serenity Vet, is compensated through Serenity Vet, and is never on your payroll.
  2. The veterinarian is typically not restricted at all. Reputable marketplace operators do not require the relief veterinarians who use their platforms to sign non-compete clauses. Veterinarians are free to work through multiple platforms.
How is Serenity structurally different?
  • Lower service fee than the North American market average.
  • The relationship is explicitly set out in our Terms and Conditions: clinics purchase staffing services from Serenity Vet; veterinarians provide services as independent contractors; and no employment relationship arises between the clinic and the veterinarian (Terms and Conditions §22; Hospital Agreement §11; Independent Contractor Agreement).
Are veterinarians on Serenity Vet employees of the clinic when they work a shift?

No. Veterinarians who provide services through Serenity Vet are independent contractors, not employees of the clinic. When a clinic books a shift, the clinic is purchasing staffing services from Serenity Vet, not hiring an individual directly. This is stated expressly in Section 22 of our Terms and Conditions and in Sections 2 and 11 of our Hospital Agreement.

Are veterinarians on Serenity Vet employees of Serenity Vet?

No. Veterinarians who use Serenity Vet do so as independent contractors – 1099 in the US. Serenity Vet does not employ veterinarians, does not withhold payroll taxes, does not provide employee benefits, and does not direct the manner or method of any veterinarian’s clinical work. Serenity Vet operates a marketplace platform providing matching, credentialing, and payment-processing functions; each veterinarian retains full clinical autonomy and professional independence.

Who pays the vet?

The clinic pays Serenity Vet. Serenity Vet then remits shift compensation to the veterinarian, net of Serenity Vet’s service fee. The clinic’s payment counterparty is Serenity Vet; the veterinarian’s payment counterparty is also Serenity Vet. This is the standard marketplace-intermediary structure and is expressly documented in Section 3 of our Hospital Agreement.

What if we’re worried about a placement fee under our current marketplace contract?

Bring the concern to your Serenity Vet account executive. We can walk you through the analysis and share the relevant provisions from our contract structure that support the marketplace-not-employer position. For a definitive answer about your specific situation, review the current marketplace’s contract with your own counsel.

What if we want to actually convert a relief veterinarian to our own W-2 or T4 employee?

Serenity Vet does not impose any placement fees in this case, but some platforms do.

Does Serenity Vet offer indemnification for legal risks tied to switching?

Indemnification is handled case-by-case. It is not automatic. Speak with your Serenity Vet account executive.
